How to use the workplace safety inspection checklist

  1. Fill in the site, date, and inspector. Use one sheet for each area you inspect.
  2. Walk the area and mark each item Pass, Fail, or N/A. Do not leave a row blank; blank means not checked.
  3. For each Fail, set the risk and write the problem and what was done or will be done.
  4. In the summary, write anything not fixed on the spot, who owns it, and the due date.
  5. At the next inspection, start with last month's summary.

Adapting it to your site

  • Delete areas you do not have, and add rows for hazards specific to your work, such as forklifts, compressed gas cylinders, or dust.
  • Add an area for your own equipment, such as conveyors, presses, or dock levelers.
  • If your company uses its own risk scale, change the drop-down list in the Risk column.

Before you use it

Please read
  • This is a general workplace checklist, not an official OSHA form. The items you need depend on your industry and the work you do.
  • Portable fire extinguishers must be visually inspected monthly (29 CFR 1910.157(e)(2)). Use a fire extinguisher inspection log for that record; this checklist only checks that they are in place.
  • Defective or damaged PPE must not be used (29 CFR 1910.132(e)). Take it out of use when a Fail is found.
  • State plans and your insurer may set more requirements. Check the current rules that apply to your workplace.

Workplace Safety Inspection Checklist FAQ

How often should a workplace safety inspection be done?

OSHA does not set one frequency for a general workplace inspection. Many workplaces do one a month by area, and after any change such as new equipment or a new process. Some items have their own rules, such as the monthly visual check of fire extinguishers (29 CFR 1910.157(e)(2)).

Who should do the workplace safety inspection?

Often a safety coordinator, a safety committee member, or the area supervisor. Bringing a worker from the area helps, because they know where the problems are.

Is this the same as a health and safety inspection checklist?

Yes, it covers both safety items, such as machine guards and electrical, and health items, such as chemicals, ventilation, noise, and heat. Add items for the specific health hazards at your site.

What should I do with the results?

Fix what you can on the spot. For everything else, write the owner and the due date in the summary, and check those items first at the next inspection.
