  • Store and restaurant owners who want the service company's annual visit and their own monthly checks in one file

When to use it

Do the monthly visual check of each extinguisher and write one line per extinguisher in the Monthly Inspection Log. When the service company does the annual maintenance, update the Extinguisher Register with the date, and the next due date fills in. Use one file per building per year.

How to use the fire extinguisher inspection log

  1. List every extinguisher in the Extinguisher Register with its number, location, type, and size. The label on the extinguisher shows the type and the manufacture year.
  2. Each month, check each extinguisher and add a line to the Monthly Inspection Log. Mark the 5 checks Pass, Fail, or N/A and write your initials.
  3. If a check fails, fix it on the spot if you can (for example, move what is blocking it). If the extinguisher needs service, replace it with a spare and write what was done.
  4. After the annual maintenance visit, enter the date and the service company in the register. The next due date fills in.
  5. Keep the year's file. Start a new file each January and copy the register over.

Adapting it to your site

  • If you have many extinguishers, use one register sheet per floor or per building.
  • Add the extinguisher number to its wall sign so the log matches the unit.
  • If you also track fire alarms, sprinklers, or emergency lights, keep them in a separate log.

Before you use it

Please read
  • This is a general log, not an official OSHA or fire department form. Your service company will also put a tag on each extinguisher.
  • Portable fire extinguishers must be visually inspected monthly (29 CFR 1910.157(e)(2)), and are subject to an annual maintenance check (29 CFR 1910.157(e)(3)).
  • The employer records the annual maintenance date and keeps that record for one year after the last entry or the life of the shell, whichever is less (29 CFR 1910.157(e)(3)).
  • Hydrostatic testing and internal maintenance intervals depend on the extinguisher type. NFPA 10 is commonly referenced; your service company and local fire code set what applies to you.

Fire Extinguisher Inspection Log FAQ

How often do fire extinguishers need to be inspected?

OSHA 29 CFR 1910.157(e)(2) says portable fire extinguishers are visually inspected monthly. 29 CFR 1910.157(e)(3) adds an annual maintenance check, which is usually done by a fire extinguisher service company.

What do you check in a monthly fire extinguisher inspection?

Common checks are that the extinguisher is in its place, visible, and not blocked; the gauge is in the operable range; the pin and tamper seal are intact; there is no damage, rust, or leaking; and the tag is present. The manufacturer's label lists the checks for that model.

How long do I need to keep fire extinguisher records?

For the annual maintenance date, OSHA 29 CFR 1910.157(e)(3) says the record is kept for one year after the last entry or the life of the shell, whichever is less. Your local fire code or insurer may ask for more.

Is the tag on the extinguisher enough?

Many service companies put the annual date on the tag, and many workplaces also initial the tag each month. A log like this one keeps all extinguishers in one list, so you can see which ones are due without walking the building.
