How to use the final product inspection checklist

  1. Fill in the site, inspector, and month at the top.
  2. Before a lot ships, enter the ship date, customer, order number, part, lot, and quantities.
  3. Mark each check Pass, Fail, or N/A. Use N/A when a check does not apply, for example a function test on a bracket.
  4. List the documents that go with the shipment and check they match the order.
  5. Mark Release only when every check passed. For a Fail, mark Hold or Reject, write the problem and action, and open a nonconformance report.

Adapting it to your site

  • Add columns your customers ask for, such as a serial number range, a first article report, or a label scan check.
  • If you inspect by sample, add a sampling plan or AQL column next to qty inspected.
  • For a product with a long check list, keep this log for the shipment record and attach a detailed checklist for each part number.

Before you use it

Please read
  • This is a general final inspection template. It is not a form from any customer, standards body, or agency.
  • Customer quality requirements and your quality system (for example ISO 9001 if you are certified) decide what must be checked and recorded. Check your customer's purchase order and quality requirements.
  • Do not ship a lot marked Hold. Release it only after the problem is fixed and the lot is re-inspected.
  • If a customer has to accept a deviation, get their written approval before shipping.
  • This template is provided as-is for reference. Worker Library is not liable for any loss arising from its use. Regulations change, so check the update date on this page.

Final Product Inspection Checklist FAQ

What is a final product inspection?

It is the last inspection of finished goods before they are shipped to the customer. It usually covers appearance, key dimensions, function, packaging and labels, and the documents that go with the shipment.

Is a final inspection the same as a pre-shipment inspection?

They are often used for the same check. "Pre-shipment inspection" is also used for inspections done by a buyer or third party at the supplier's plant before goods ship. This log works for either.

What should a final inspection report include?

At least the part and lot, the quantity, what was checked and the result, the documents shipped, the disposition, and who inspected and approved it. This template has a column for each.

What does Hold mean on the checklist?

Hold means the lot is not shipped yet because something failed or needs a decision. Write the problem and action in the same row, and change the disposition to Release only after it is fixed and re-checked.
