Who is this facility inspection checklist for?

  • Facility managers and property managers who walk a building every week or month
  • Building maintenance staff who need a simple record of what they checked
  • Owners of small commercial buildings who hire a cleaning or maintenance company and want a consistent check

When to use it

Use one sheet for each walkthrough. Most buildings do a walkthrough weekly or monthly, and an extra one after a storm, a water leak, or a tenant move-out. Print the sheet and carry it on a clipboard, or fill it in on a tablet, then save it with the date in the file name.

How to use the facility inspection checklist

  1. Fill in the property name, date, time, and your name at the top.
  2. Walk the areas in order and mark each item Pass, Fail, or N/A. Do not leave a row blank.
  3. For each Fail, write what you found and take a photo if you can. Mark "Yes" in the photo column.
  4. Write each Fail in the defect record, with who you reported it to and when.
  5. When the repair is done, fill in the date and who checked it. Write open items in the summary for the next walkthrough.

Adapting it to your site

  • Delete areas your property does not have, such as a roof you cannot access or a parking garage.
  • Add rows for things specific to your building, such as elevators, a fitness room, a pool gate, or a loading dock.
  • For a large property, make one copy per building or per floor so each sheet stays one or two pages.

Before you use it

Please read
  • This is a general walkthrough template. It is not an official form from any building department, fire marshal, or insurer.
  • A walkthrough is a visual check. It does not replace inspections by licensed contractors, such as fire alarm, sprinkler, elevator, or boiler inspections. Your local code and your insurer set those.
  • Do not go onto a roof without safe access and fall protection. If you cannot get there safely, mark N/A and schedule a contractor.
  • If you find an immediate hazard, such as a blocked exit or a live wire, fix it or block the area before you continue.
  • This template is provided as-is for reference. Worker Library is not liable for any loss arising from its use. Regulations change, so check the update date on this page.

Facility Inspection Checklist FAQ

What should be on a facility inspection checklist?

Most checklists cover the entrance, corridors and stairs, exits and emergency lighting, grounds and parking, trash areas, mechanical and electrical rooms, and the roof and exterior. This template groups 26 items that way, and you can add rows for equipment your building has.

How often should a building walkthrough be done?

There is no single rule. Many property managers walk common areas weekly and do a fuller inspection monthly or quarterly, plus an extra check after storms or leaks. Set a schedule that fits the size and use of your building.

Is this the same as a building inspection checklist?

It covers the same areas a building manager checks on a walkthrough. A code or permit inspection by your local building department is a different process with its own forms.

Can I use it as a PDF?

Yes. Open the Print sheet in Excel and save it as PDF, then print it or fill it in on a tablet.
